What is IgluWeb?
IgluWeb is NHC’s new housing management system. It is built using Yardi software and will replace the current NMS system.
IgluWeb will be used by NHC and Local Housing Organizations (LHOs) to manage important public housing information.
The change is about more than replacing an old system. It is also an opportunity to improve how housing information is recorded, shared and used to support services for tenants, applicants and communities
Why Are We Making This Change?
NHC and LHOs need accurate and up-to-date information to provide good housing services.
Over time, different systems and ways of keeping records can make it harder for staff to find the information they need and work from the same information.
IgluWeb is intended to help:
bring important housing information together in one system;
make information easier for authorized staff to find;
reduce duplicate or inconsistent records;
support more consistent ways of working across NHC and LHOs;
improve reporting;
make it easier for staff to find current tenant and applicant information; and
help LHOs, District Offices and NHC Headquarters work from the same information.
A better system can support better service, but it does not replace local knowledge, relationships or good judgment. These will continue to be an important part of housing service in every community.
What Will Be Different?
The changes will be different depending on the work each person does.
Staff who use IgluWeb may see:
new screens and steps for completing their work;
more consistent ways of entering and updating information;
new reports, forms and documents;
different ways of finding tenant and applicant information;
clearer expectations for keeping information complete and up to date; and
system access and training based on their role.
Staff will receive training and clear instructions before they are expected to use IgluWeb in their work.
What Is Staying the Same?
IgluWeb does not change the basic role of NHC or LHOs.
The following will continue to be important:
local knowledge and relationships with tenants, applicants and communities;
the role of LHOs in providing housing services in their communities;
housing policies and eligibility requirements, unless NHC communicates a separate policy change;
existing leases and tenant responsibilities;
privacy and confidentiality requirements; and
fair, respectful and informed service.
IgluWeb is a tool to support housing services. It does not replace the people, relationships and local knowledge that are part of providing those services.
Privacy and Information Security
Protecting tenant and applicant information remains important as NHC and LHOs move to IgluWeb.
Staff must continue to follow all privacy, confidentiality, information security and records requirements.
Access to IgluWeb will be based on each person’s role. Staff will only receive access to the information they need to do their work.
These requirements apply during testing, training, launch and regular use of IgluWeb.
